The correspondence address is not a venue for customer visits. In person services are delivered only at the venue confirmed for the relevant class, workshop or event.
Purpose and scope
This policy explains how Results with Kim collects, uses, stores and shares personal information when you visit the website, make an enquiry, join a mailing list, book a class or event, purchase a product, take part in coaching, join the Reignite Program, use a community or membership, or otherwise interact with Results with Kim.
Personal information we may collect
Identity and contact information, including your name, email address, telephone number, postal address and date of birth or age where relevant.
Booking and service information, including the services you purchase, attendance, appointment history, preferences and communications.
Transaction information, including payment status, refunds, invoices and limited payment details. Stripe processes full card information and Results with Kim does not normally receive your complete card number.
Account and community information, including profile details, posts, comments, messages and participation within Skool or another community platform.
Coaching information, including goals, reflections, progress, session notes and information you choose to share during coaching or group work.
Health, accessibility and safety information, including injuries, medical conditions, pregnancy, medication, emergency contact details, access requirements and information relevant to safe participation.
Marketing preferences, including whether you have asked to receive or stop receiving emails or other messages.
Technical and usage information, including internet protocol address, device and browser information, pages visited, form activity and cookie choices where the website technology provides this information.
Images, audio, video, testimonials and feedback, but only where there is an appropriate lawful basis and any necessary permission.
How we collect information
We may collect personal information:
directly from you through website forms, bookings, purchases, questionnaires, email, telephone, coaching sessions and community participation
from a parent or guardian where a participant is aged 16 or 17
through service providers such as FEA Create, Bookwhen, Stripe and Skool
automatically through essential website technology and, where you consent, optional analytics or marketing technology
from publicly available sources or a referral, where it is fair and lawful to do so

Health and other sensitive information
Health information is special category personal information. Results with Kim will collect only information that is reasonably needed to support safe participation or deliver an agreed service. The usual Article 6 lawful basis will be performance of a contract or legitimate interests. The usual Article 9 condition will be your explicit consent.
Where explicit consent is used, you may withdraw it at any time by emailing [email protected]. Withdrawal does not make earlier use unlawful. If relevant safety information cannot be processed, Results with Kim may be unable to provide a class, coaching service or event safely.
When Results with Kim asks for health information, you will be given a separate clear consent statement explaining the specific safety purpose and how you can withdraw consent.
Marketing communications
Results with Kim may send newsletters, programme information and promotional messages where you have consented, or where the law allows messages to existing customers about similar services and you were given a clear opportunity to opt out.
You can unsubscribe using the link in an email or by contacting [email protected]. A minimal suppression record may be retained so that your preference is respected. Service messages about a booking, payment, safety matter or active programme are not marketing and may still be sent when necessary.
Cookies and similar technology
The website may use cookies and similar technology to operate forms, remember preferences, maintain security, measure website use and support marketing. Essential technology may be used where it is necessary for the website to function. Optional analytics or marketing technology will be used only after you have made an appropriate choice through the cookie controls.
You can reject optional technology as easily as you can accept it and can change your choices later. The current cookie list and retention periods will be shown through the website cookie controls.

Personal information may be shared only where reasonably necessary with:
FEA Create and its authorised providers for website hosting, forms, customer relationship management, email delivery, automations and related services
Stripe for secure payment processing, fraud prevention and related payment services
Bookwhen for class and event bookings
Skool for membership, course and community services
venues, instructors or delivery partners where limited information is needed to administer a service or respond to an incident
professional advisers, insurers, accountants and legal representatives
public authorities, regulators, courts or emergency services where disclosure is required by law or is reasonably necessary to protect safety or legal rights
Results with Kim does not sell personal information.
International processing
Some service providers or their authorised processors may store or access information outside the United Kingdom. FEA Create states that its services may involve processing in the United States. Where a restricted transfer occurs, Results with Kim will rely on an applicable adequacy regulation or approved contractual safeguards, together with any additional measures required by UK data protection law.

How long we keep information
Retention depends on the purpose, legal requirements, insurance conditions and the nature of the relationship. The usual periods are:
enquiries that do not become customers, normally up to 12 months after the last meaningful contact
contracts, invoices and transaction records, normally six years after the end of the relevant financial year
coaching notes and working records, normally up to three years after the service ends, unless a longer period is reasonably needed for a complaint, safeguarding issue or legal claim
health screening, safety declarations and incident records, for the period reasonably required by safety, insurance and legal obligations. Records relating to a participant aged 16 or 17 may need to be retained beyond their eighteenth birthday
marketing records, until consent is withdrawn or an objection is made, with a minimal suppression record retained where needed to prevent further marketing
community and account information, for the life of the account and a reasonable period afterwards, subject to platform settings and legal needs
Information will be securely deleted or anonymised when it is no longer required.
Security
Results with Kim uses reasonable technical and organisational measures appropriate to the nature of the information. These may include access controls, strong authentication, secure providers, limited access, device protection, backups and procedures for responding to incidents. No internet service can be guaranteed completely secure.
Your data protection rights
Depending on the circumstances, you may have the right to:
ask for access to your personal information
ask for inaccurate or incomplete information to be corrected
ask for information to be deleted
ask for use of information to be restricted
object to use based on legitimate interests or to direct marketing
receive certain information in a portable format
withdraw consent at any time where consent is the lawful basis
complain about how personal information is handled
These rights are not absolute and an exemption may apply. Requests can be sent to [email protected]. Results with Kim may need reasonable information to verify identity and normally responds within one month.
Participants aged 16 or 17
Dance fitness classes may be attended by people aged 16 or 17 where any required parent or guardian consent and emergency information has been provided. Results with Kim will use clear, age appropriate privacy information and will take the participant's interests into account. Coaching, the Reignite Program, paid communities and similar personal development services are intended for adults aged 18 and over unless Results with Kim expressly agrees otherwise in writing with an appropriate parent or guardian.

This policy may be updated when services, providers or legal requirements change. The latest version will be displayed on the Results with Kim website with its update date.
